Effective: September 20, 2026
This policy explains what information Waitlist collects on this website, how we use it, who sees it, how long we keep it, and what rights you have. It's written in plain English because a policy nobody reads protects nobody. This is not legal advice; if you need advice about your own obligations, talk to your attorney.
What we collect
Information you give us. When you use the contact form, the growth diagnostic, or any lead form: your name, email address, phone number, practice name and location, and whatever you type into message fields. When you email or call us, we receive whatever you choose to share.
Information from the calculators and diagnostic. The budget and patient-value calculators run in your browser — their inputs stay on your device and are never sent to us. The growth diagnostic's answers are sent to us, because we use them to generate your read-out and, if you share contact details, your full diagnostic.
Information collected automatically. When you visit, we log standard technical data: pages viewed, links clicked, tool interactions (tracked as analytics events), device and browser type, approximate location (city level, derived from IP), and referring page. We do this through Google Analytics 4 and our own event logging.
Cookies and similar technologies. We use a small number of cookies: strictly necessary ones for the site to function, analytics cookies (GA4) for understanding usage in aggregate, and preference cookies (such as remembering tool inputs). You can block cookies in your browser; the site will still work, but analytics measurement will be incomplete. See "Cookies and analytics" below.
How we use it
- To respond and deliver. Answering inquiries, generating diagnostic read-outs, and preparing the full diagnostics people request.
- To improve the site. Aggregate analytics tell us which pages and tools help visitors and which don't. We make content decisions from patterns, never from individual browsing histories.
- To communicate. If you ask us to contact you, we will — by email, phone, or text, per your preference. Marketing emails always include an unsubscribe link, and unsubscribing is honored promptly.
- To operate safely. Detecting abuse, spam, and misuse of the forms and tools.
We do not use your information to make automated decisions with legal or similarly significant effects.
How we share it
We share personal information only with the service providers that operate this site — hosting infrastructure, analytics (Google Analytics), and email delivery — each bound by contract to use it only for our purposes. We do not sell personal information. We do not share it with third parties for their independent marketing. We will disclose information if required by law, court order, or to protect the site's security and our legal rights.
If Waitlist is ever acquired or merges, your information would transfer as a business asset; this policy would continue to apply until you are notified of any change.
Cookies and analytics
Google Analytics 4 measures aggregate usage (page views, tool events, approximate geography). GA4 does not identify you by name, and we do not merge analytics data with lead-form data to build individual profiles. You can opt out of GA measurement entirely with Google's opt-out add-on or by blocking analytics cookies — the calculators and diagnostic still work.
| Data | Purpose | Retention |
|---|---|---|
| Lead and contact submissions (name, email, phone, practice details) | Responding to inquiries; preparing requested diagnostics | 3 years from last contact, then deleted or anonymized |
| Growth diagnostic answers | Generating your read-out and full diagnostic | 3 years from submission, tied to the lead record above |
| Analytics events (page views, tool interactions) | Aggregate usage measurement | Per GA4 settings (14 months), then auto-deleted |
| Email correspondence | Business records | 3 years |
| Server and security logs | Abuse prevention, debugging | 90 days |
Security
We protect data with encrypted connections (HTTPS), access controls limited to staff who need it, and reputable infrastructure providers. No system is perfectly secure; we monitor, patch, and limit what we collect in the first place, because data we never hold can't leak.
Your rights
You can ask us to see what personal information we hold about you, correct it, delete it, or limit how we use it. Texas residents have these rights under the Texas Data Privacy and Security Act, including the right to appeal a denied request and the right not to be discriminated against for exercising them. To exercise any right, email hello@dentalsmarketing.com with "Privacy request" in the subject line and enough detail to identify you; we respond within 45 days.
Children's privacy
This site is a business-to-business resource for dental practice owners. We do not knowingly collect information from children under 13, and our forms are not directed at children. If you believe a child has submitted information, contact us and we will delete it.
Changes to this policy
If we change how we handle your information in a material way, we will update this page, change the effective date above, and — for active leads — note it in our next routine communication. The current version always lives at this URL.
